Privacy Policy

Have counsel review this before launch. This is a working draft written for a California nonprofit that operates a website with contact forms and accepts donations. It is not legal advice. Once you begin providing clinical care, you will need a separate HIPAA Notice of Privacy Practices — this policy does not serve that purpose.

Who we are

Pediatric H.E.L.P. Organization ("Pediatric H.E.L.P.," "we," "us") is a California nonprofit public benefit corporation recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, EIN [00-0000000]. This policy applies to pediatrichelporg.org and to the forms and email addresses linked from it.

What we collect

• Information you give us. Your name, email address, phone number, city, the role you identify yourself as (parent, clinician, donor, and so on), and whatever you choose to write in a message or an event registration.
• Donation information. If you give, our payment processor collects your billing details and shares with us the amount, date, and the name and contact information you provide. We never see or store your full card number.
• Basic technical information. Our hosting provider records standard request logs — IP address, browser type, pages requested, timestamps — to operate and protect the site.

What we do not collect

We do not ask for, and ask that you do not send, detailed medical information about your child through this website. Our forms are ordinary web forms and are not a secure medical channel. If we need clinical detail from you, we will arrange a secure method and tell you so explicitly.

We do not sell, rent, or trade your information. Ever, to anyone, for any purpose.

How we use it

• To respond to you, and to follow up on what you asked about
• To send event notices or updates if you asked to receive them
• To acknowledge and receipt donations, and meet our reporting obligations
• To understand, in aggregate, which parts of the site families and clinicians actually use

Who else sees it

We use a small number of service providers who process information on our behalf and are permitted to use it only to provide their service to us:

• [Form provider — e.g. Formspree], for website form submissions
• [Donation processor — e.g. Givebutter], for donations
• [Email provider], for our email and any mailing list
• [Hosting provider — e.g. Cloudflare], for site hosting and security

We may also disclose information if required by law, or where necessary to protect someone's safety. If we ever believe a child is in immediate danger, we will act on that.

Stories and photographs

We publish a family's story, name, likeness, or any detail about their child only with that family's explicit written permission. That permission can be withdrawn at any time, for any reason, and we will take the material down. Case studies published without a named family are composite illustrations and are labeled as such.

Children's privacy

This site is written for adults — parents, caregivers, clinicians, and supporters. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information to us, contact us and we will delete it.

Cookies and analytics

[If you add analytics, name the tool here and say what it collects. If you use none, say so — "We use no advertising or tracking cookies" is a real competitive advantage for a nonprofit and worth stating plainly.]

How long we keep it

We keep correspondence for as long as needed to help you and to maintain our records, and donation records for as long as tax and charitable-reporting rules require. You can ask us to delete your information at any time and we will, except where we are legally required to retain it.

Your choices

• Ask what information we hold about you, and get a copy
• Ask us to correct or delete it
• Unsubscribe from any list — every email has a link, and you can also just reply and ask

California residents may have additional rights regarding personal information. Write to us and we will honor any request the law provides for.

Security

The site is served over HTTPS, and we limit access to submissions to the people who need it. No method of transmission over the internet is completely secure, which is the reason we ask you not to send medical records through a web form.

Changes

If we change this policy we will update the effective date above, and for a material change we will say so on this page.
